Refund & Cancellation Policy
This policy outlines the guidelines, timelines, and terms regarding payment refunds, cancellations, and fee adjustments for transactions processed on Vet-Aqua Articles.
At Vet-Aqua Articles, we maintain complete transparency in our editorial operations, publication handling, and payment processing. As an open-access e-publication portal, nominal Article Processing Charges (APC) are collected to cover infrastructure, server hosting, digital formatting, and editorial workflows.
1. Article Processing Fee Policy
Once an article, case report, or extension guide has been approved, formatted, and published on our open-access portal:
- Completed Services: The paid Article Processing Charge (APC) covers the immediate digital formatting, indexing, and hosting of the manuscript and is strictly non-refundable.
- Post-Publication Requests: Retraction or removal of a published article requested by the author post-publication does not qualify for a fee refund, as editorial resources have already been expended.
2. Scenarios Eligible for Refund
Refunds or adjustments will be issued under the following specific circumstances:
- Duplicate Payments: If an author is charged twice for the same article or payment reference ID due to a system lag or browser refresh, the duplicate payment will be refunded in full.
- Excess Payments: Any overpayment made due to gateway glitches or currency conversion errors will be refunded after verification.
- Pre-Formatting Rejection: If a manuscript is rejected by the editorial board prior to peer review or typesetting layout, any pre-paid publication fee will be refunded 100%.
3. Refund Timeline & Gateway Processing
All approved refunds are initiated through our official payment gateway partner, Razorpay:
- Initiation Window: Refund claims must be submitted to our support team within 7 days of the payment date.
- Processing Time: Once approved, refunds are credited back to the original payment source (Credit/Debit Card, UPI, Net Banking, or Wallet) within 5 to 7 business days.
- Bank Delays: Depending on your banking institution, credited amounts may take an additional 2–3 business days to reflect in your account statement.
4. Order & Manuscript Cancellation
Authors wishing to cancel an article submission must send an official email request to our editorial support team.
- Before Editorial Layout: Cancellation requests received before manuscript layout formatting will be accepted, and applicable fees will be refunded.
- After Production/Layout: Cancellation requests submitted after the article has been processed, assigned a volume/issue number, or scheduled for publication cannot be refunded.
5. Requesting a Refund
To submit a refund or fee reversal request, please email us with your payment documentation:
Please include your Transaction Reference ID, Article Reference ID, and a copy of the payment receipt generated by Razorpay.
